PDF bills to Xero
Xero imports bills from a CSV file under Purchases, Bills, Import. This tool writes that file from your PDF invoices, one row per line, with the invoice number repeated on each line so Xero groups them into one bill. Imported bills arrive as drafts for you to approve.

Account code and tax rate
Xero needs an account code and a tax rate on every line, and both must match your organisation exactly. Enter them once before downloading. Tax printed on the invoice is added as a line of its own, so choose a rate without tax calculation, for example Tax Exempt or No VAT, and the bill total matches the invoice.
Dates and amounts
Dates follow your organisation's format: month first for US organisations, day first for UK, Australian and New Zealand ones. Choose it before downloading. Amounts are plain numbers with a decimal point. Credit notes are written with negative unit amounts, which Xero imports as credit notes.
Large batches
Xero accepts up to 500 lines per file. The tool tells you when an export is larger, so you can split it and keep each bill's lines together.

Prices in USD are approximate. Checkout charges the exact amount in USD at Stripe’s exchange rate (a 2–4% conversion fee is included), or in euros if you prefer. No VAT or sales tax is added. Monthly, cancel any month. A page is one PDF page or one image; documents in which nothing is found are not counted, and the same file is counted once.
Questions
- Does Xero create missing suppliers?
- Yes: when a contact name in the file does not match an existing contact, Xero creates a new one. Check the names on screen first to avoid near-duplicates.
- Can I use Hubdoc instead?
- Hubdoc captures one document at a time into Xero. This tool is for batches you want to review, correct and import in one go, or keep in Excel as well.
